1. Acceptance of Terms

By using this website or engaging with Gentle Force Counseling Services in any capacity — including browsing our site, submitting a contact or intake form, scheduling an appointment, or receiving services — you acknowledge that you have read, understood, and agree to be bound by these Terms, as well as our Privacy Policy, which is incorporated into these Terms by reference.

2. Not for Emergency Use

This website, our contact forms, our text messaging communications, and our email are not monitored 24/7 and are not intended for use in a medical or mental health emergency. If you or someone you know is experiencing a crisis, is in danger, or needs immediate assistance, call 911, go to your nearest emergency room, or contact the 988 Suicide & Crisis Lifeline by calling or texting 988.

3. Use of Our Website

You agree to use our website only for lawful purposes and in a manner that does not infringe the rights of, or restrict or inhibit the use and enjoyment of, this site by any third party. Prohibited uses include, but are not limited to:

4. Appointments & Cancellations

Scheduling an appointment through our website, by phone, or by text does not guarantee availability until confirmed by our office. We ask that you provide as much advance notice as possible if you need to cancel or reschedule an appointment.

  • Cancellations made with less than [24/48] hours' notice may be subject to a late-cancellation fee of [$XX]
  • Missed appointments without notice ("no-shows") may be subject to a no-show fee of [$XX]
  • Repeated late cancellations or no-shows may affect your ability to schedule future appointments

Fees related to cancellations and no-shows are generally not billable to insurance and are the responsibility of the client. Please contact our office directly with questions about our specific cancellation policy.

5. Telehealth Services

Where offered, telehealth (virtual counseling) sessions are provided through a secure, HIPAA-compliant platform. By participating in telehealth services, you acknowledge that:

  • Telehealth involves the use of electronic communications and carries inherent risks of technical failure or interruption
  • You are responsible for ensuring a private, confidential location and stable internet connection for your session
  • Telehealth may not be appropriate for all clinical situations, and your clinician may recommend in-person care when necessary
  • Telehealth services are currently available to clients located in Pennsylvania, New Jersey, and Delaware, consistent with clinician licensure

6. Communications & Text Messaging (SMS)

If you provide us with your phone number and opt in to receive text messages, the following terms apply, consistent with our Privacy Policy:

Consent: By opting in, you consent to receive text messages from Gentle Force Counseling Services related to appointments and client communications. Consent to text messaging is not a condition of receiving services.

Message Frequency & Rates: Message frequency varies. Message and data rates may apply.

Opting Out: Reply STOP at any time to opt out, or HELP for assistance.

No Third-Party Marketing Use: Text messaging opt-in data and consent are not shared with third parties for marketing or promotional purposes.

Text messages and emails are not secure methods of communication. Please do not use text or email to share sensitive clinical information or to report an emergency.

7. Payment, Billing & Insurance

You are responsible for providing accurate insurance and billing information. While we may assist in verifying benefits or submitting claims as a courtesy, you remain responsible for any charges not covered by your insurance, including deductibles, copayments, coinsurance, and services deemed non-covered by your plan. Payment terms, accepted insurance carriers, and self-pay rates are provided separately during intake.

8. Intellectual Property

All content on this website — including text, graphics, logos, images, and design elements — is the property of Gentle Force Counseling Services or its licensors and is protected by applicable copyright and trademark laws.
